Proof of Delivery and Acceptance Policy

This policy explains how deliveries are accepted, what signing the Proof of Delivery means, and when responsibility for products passes to you.

Because we arrange delivery of large and bulky building materials through third-party suppliers, it’s essential that deliveries are checked carefully at the point they arrive.

Checking your delivery

You (or someone you’ve authorised) must be present on the agreed delivery day to accept the delivery and sign the Proof of Delivery.

Before signing, you must check that:

  • All items have been delivered in full
  • The correct products have been supplied
  • The materials are in good condition

Only sign the Proof of Delivery once these checks have been completed.

Signing the Proof of Delivery

By signing the Proof of Delivery without notes, you confirm that:

  • The delivery has been received in full
  • The products are correct and in acceptable condition
  • There are no visible defects or shortages

A signed Proof of Delivery without notes will be treated as confirmation that the delivery has been accepted in full.

Missing, damaged, or incorrect items

If any items are missing, damaged, defective, or incorrect:

  • Do not sign the Proof of Delivery without noting the issue
  • Clearly record all missing, refused, or defective items on the Proof of Delivery
  • Refuse any damaged or incorrect items where appropriate

We’re unable to accept claims, arrange replacements, or issue refunds for items that were not recorded on the Proof of Delivery at the time of delivery.

Unauthorised signatures

Only you or someone you’ve authorised should sign for the delivery.

If a delivery is signed for by a third party who isn’t authorised by you, this doesn’t automatically constitute acceptance of the delivery. Any such cases will be investigated based on the circumstances and the information available.

Unattended delivery

If you request delivery to take place without anyone present on site, this must be agreed in advance in writing.

By agreeing to unattended delivery, you:

  • Accept full responsibility for the products once delivery is confirmed
  • Waive your right to a signed Proof of Delivery
  • Accept that no claims for missing or damaged items will be accepted

When responsibility transfers

Responsibility for the products transfers once delivery has been accepted in line with this policy.

Acceptance occurs when:

  • The Proof of Delivery is signed without notes, or
  • Unattended delivery has been agreed in advance and delivery is confirmed

Where delivery is refused or issues are recorded on the Proof of Delivery, acceptance doesn’t occur for the affected items.

Time limits for reporting issues

Any delivery issues that aren’t visible at the time of delivery must be reported within 48 hours of delivery.

We may require supporting evidence, such as photographs, to investigate the issue.
